BEAR GRYLLS SURVIVAL ACADEMY – MASTER TERMS & CONDITIONS
(Note: Terms and Conditions for Corporate Events & Team Building Activities differ from the below)

This contract is with Mantis Entertainment Ltd, t/a Bear Grylls Survival Academy. When you make a booking, you guarantee that you have authority to accept and do accept on behalf of your party the terms of these booking conditions. A contract will exist as soon as we issue our confirmation invoice. The contract is made on the terms of these booking conditions which are governed by English Law and we both agree to submit to the jurisdiction of the English Courts at all times, unless you reside in Scotland or Northern Ireland where you may pursue matters through the appropriate courts.

Adult Only SURVIVAL Courses

Participants must be 18+ years of age to apply for our adult courses, no applicants under the age of 18 will be considered and it is the client’s responsibility to provide accurate and true information to the company. Proof of identity and age will be required, before the client may join the course. In the event that any information supplied by the client proves to be incorrect or untrue and prevents the client from joining the course, the full amount paid by the client will be retained to cover administration costs and there will be no refund due.

FAMILY SURVIVAL COURSES

Child participants must be aged 8-17 years on 24hr Family Courses worldwide. Minimum age requirements may differ for day courses, birthday parties & residential courses - please ask a member of the team for the relevant details.

Health & Fitness recommendations for our survival courses

As you would expect, the Bear Grylls Survival Academy is challenging both mentally and physically. To get the most out of the experience, participants should be relatively fit and healthy.

Whilst we encourage anyone and everyone to partake on our survival courses, our extreme courses (Survive the Highlands, Survive the Moors and Survive Snowdon) are the most physically demanding.

Our other survival courses do include physical activities and whilst they are not as demanding as the extreme courses, it is strongly suggested that clients have a relative degree of physical fitness to enjoy the pace of the courses.

Any client with concerns regarding the physical demands of BGSA courses, are invited to contact the team at any time, prior to their attendance on the course.

It is highly essential that you make us aware of any past/present medical conditions as well as any dietary requirements or allergies at the time of booking. This is to ensure that we have all necessary participant information to pass over to your team of instructors ahead of your course.

If any additional information is required other than what has been stated, a member of our team at head office will get in touch shortly after your booking has been made.

Health & Fitness recommendations for our TEAM BUILDING EVENTS

All of our team building activities are designed to be successfully achieved by any group that is prepared to work together. Fitness levels and age are not barriers and we welcome individuals who may have limited physical ability. Whilst they may not be able to partake in the implementation of a particular task, they can be a valuable asset in the planning stage as well as taking on a role of co-ordinator and motivator during the tasks.

REQUIRED INDEMNTIY FORMS

It is a condition of booking that the “Acknowledgement of risks involved” and “Release from Liability” forms must be completed, signed and returned to us within 14 days of making your booking. If the booking is made within 14 days of the course commencing, the forms will be required immediately.

When booking via the website, a link to the indemnity forms will be included within the booking confirmation email, where clients will be able to complete the forms online.

PRICES

We reserve the right to alter any of our advertised course prices. You will be advised of the current price of your course that you wish to book before your booking is confirmed.

MAKING A BOOKING AND PAYMENT

In order to confirm your booking, full payment is required for all courses with the exception of a deposit payment amount for Extreme Course bookings (Survive the Highlands, Survive the Moors, Survive Snowdon). With all bookings made, we honour a fourteen day “Cooling Off” period, during which, if you change your mind and decide not to proceed with your booking, you may notify us by email and a full refund will be made. Your booking is confirmed and a contract between us exists when we issue our confirmation invoice and/or email. Please check your confirmation carefully and report any incorrect or incomplete information to us immediately. If you have paid a deposit, the full balance of the cost of your course is due 45 days before the course start date. If the balance is not received by this time, we shall send you an email reminder that this is now due. If you do not pay within 7 days of this reminder we will cancel your booking and retain any funds paid. The cost of your course does not include any extra chargeable services that you may wish to use, these are at your own expense outside of the course duration.

YOUR RESPONSIBILITY FOR YOUR BOOKING

When you make a booking, you guarantee that you have the authority to accept and do accept on behalf of your party the terms of these booking conditions. This means that you are responsible for making all payments due, notifying us if any changes or cancellations are required and for receiving the confirmation and keeping your party informed.

INSURANCE

It is your responsibility to ensure that you are adequately insured. We strongly recommend that you take out insurance, which should include cover against the cost of cancellation by you, any personal effects and assistance (including repatriation) in the event of an accident or illness.

CHANGES TO YOUR BOOKING

The person that made the booking must put this in writing to us, by email, fax or post. Because we incur costs in amending confirmed bookings, particularly if these occur close to your course date, you will be charged an administration fee. If you wish to amend your booking, this will be the date on which we receive your written notice during the hours of 9am until 5:30pm Monday – Friday, excluding any public holidays.

Notified 45 days or more before your course start date: Administration fees will vary and can range from £25 to £100 per person per amendment to the booking. A member of our team will be in contact with you to discuss your booking and will be able to advise of the relevant fees payable. Any requests will be dealt with appropriately and advised of accordingly.

IF YOU WANT TO CANCEL YOUR BOOKING

The person that made the booking must put this in writing to us, by email, fax or post. Because we incur costs in cancelling confirmed bookings, particularly if cancellations occur close to your course date, you will be charged a cancellation fee. If you cancel your course, this will be the date on which we receive your written notice of cancellation during the hours of 9am to 5.30pm Monday – Friday excluding any public holidays.

Notified 121 days or more before your course date: loss of 30% of the course value

Notified 120-45 days before your course date: loss of 50% of the course value

Notified 45-0 days before your course date: loss of full funds paid

Charges are shown as a percentage of your course cost (excluding amendment fees, if any, which are non-refundable in the event of a cancellation).

IF WE CHANGE OR CANCEL YOUR BOOKING

We reserve the right to change or cancel your booking. Subject to the note below, if we make a change and you wish not to accept it, you can take any alternative course we are able to offer you. If the replacement course offered is advertised at a higher price, all efforts will be made by us to ensure any additional costs are not charged to you. If it is a less expensive course, a refund of the difference in the amount will be paid back to you. This does not apply where the change is not material. Examples of non-material changes include, but are not limited to, temporary withdrawal of facilities or location. We will not be responsible to pay any compensation following a change or a cancellation by us. Any amendment or cancellation fees you incur in terms of other arrangements you have made with other providers under separate contracts are not claimable from us. Note: If a change or cancellation occurs because of circumstances beyond our control, for example war, riot, industrial dispute, actual or threatened terrorist activity and its consequences, natural or nuclear disaster, fire, adverse weather conditions, flood, or other unavoidable accident circumstances. Epidemic or pandemic illness and all similar situations we will have no liability to you. No compensation, costs, expenses or any other sums, including the cost of the course securing alternative arrangements will be paid by us. Bear Grylls Survival Academy reserves the right to amend dates of courses or cancel courses at any time if necessary. Participants should check that adequate Personal Insurance covers them for cancellation of any travel arrangements that may have been booked.

WEBSITE

The Company reserves the right to make any changes that may be necessary to the particulars on this website at any time. Where such changes occur, these will be subject to the rights as given under the appropriate headings in these Booking Conditions concerning cancellations and alterations.

WEATHER

World weather is becoming more erratic and unpredictable and we cannot be held responsible for any disruption caused to your pre-travel arrangements and the running and inclusions of the course because of bad weather conditions.

BEHAVIOUR

When you book courses with us, you accept responsibility for the proper conduct of all members of your party for the duration of the course. We reserve the right at any time to terminate your or any party member(s) inclusion on the course whose behaviour is such, in the reasonable opinion of the instructor or us, is causing or is likely to cause danger, upset or distress to anyone else or damage to equipment/property. Full cancellation charges will then apply and no refund will be given. Furthermore, we shall be under no obligation whatsoever to pay compensation or meet any costs or expenses (including but not limited to alternative accommodation) you may incur as a result of your course inclusion being terminated. If you cause damage to any property or equipment, you must fully reimburse Bear Grylls Survival Academy for the cost of the damage before the end of your course if the cost has been established by then or as soon as it has been established if later.

COMPLAINTS

If you have a problem during your course, please inform your course instructor immediately, who will do their utmost to put things right and find a suitable solution. If your complaint is not resolved at the time, please follow this up within 28 days of your course end date by writing to us providing us with your booking reference, booking name and any other relevant information we will need. Please keep your letter concise and to the point. This will help us to identify your concerns quickly and ensure a swift response. By not providing us with sufficient information, we will not be able to investigate and resolve your complaint efficiently and effectively. Please bear in mind that we are only liable to compensate you in line with these booking conditions.

DATA PROTECTION POLICY

In order to process your booking and to ensure that your arrangements run smoothly and meet your requirements we need to use the information you provide such as name, address, any special needs/dietary requirements etc. We take full responsibility for ensuring the proper security measures are in place to protect your information. We must pass the information on to the relevant suppliers of your travel arrangements such as course providers, sometimes airlines, hotels, transport companies etc.

The information may also be provided to security or credit checking companies, public authorities such as customs/immigration if required by them, or as required by law. Additionally, where your package is outside the European Economic Area (EEA), controls on data protection in your destination may not be as strong as the legal requirements in this country. We will not however, pass any information onto any person not responsible for part of your arrangements. This applies to any sensitive information that you give to us such as details of any disabilities, or dietary/religious requirements. In making this booking, you consent to this information being passed on to the relevant persons.
